Set Up Virtual Phone

How to set up your Virtual Phone number, record voicemail greetings, and configure office hours. You'll get a unique phone number in your school's area code and learn to customize settings for optimal functionality. Setup includes network configuration and testing to make sure everything works properly.

Who can use this?
School and District Admin, Principals and Staff and Teachers with Virtual Phone permission

 

Before Getting Started

  • Virtual Phone must be enabled for your school. Admin can contact ParentSquare Support to enable Virtual Phone.
  • You must be a staff member at a school or district with Virtual Phone permission (included by default for Admin, Principal, Staff and Teacher roles).
  • You must have a verified phone number capable of receiving text messages.

Initial Virtual Phone Setup

  1. From Home, click Virtual Phone in the left sidebar under Communicate.
  2. The first time you visit Virtual Phone, you will be prompted with your new Virtual Phone number and your forwarding number.
    • Virtual Phone number - a phone number in your school's area code (if a number is available) that will show as the number you are calling from when you make Virtual Phone calls.
    • Forwarding number - the number associated with your ParentSquare account.
  3. Click Continue to complete the verification process by responding to the text message confirmation.

Note: Your Virtual Phone number is unique to you and uses your school's area code when available.


Optional Setup

Set Up Your Voicemail Greeting

  1. From Home, select Virtual Phone in left sidebar.
  2. Click Settings on the left.
  3. Add the message that callers will hear when they reach your voicemail. Choose from:
    • Text-to-Speech - Type your message.
    • Record Message - Record audio directly.
  4. Click Preview Message (optional) to test your greeting.
  5. Click Save to activate your greeting.

Note: Voicemail greeting setup is not available on the mobile app. Use a web browser for this function.

 

Configure Office Hours

How Office Hours Work

  • During office hours: Incoming calls forward to your designated number.
  • Outside office hours: You will not receive calls from Virtual Phone. Calls go directly to voicemail.
  • Call forwarding: You'll be told who's calling and asked to press a button to connect.
  • No response: Calls automatically redirect to voicemail.

Contact Management

Adding your Virtual Phone number to contacts helps prevent calls from being treated as spam:

  • Add your ParentSquare Virtual Phone number as a contact to your phone.
  • Share your Virtual Phone number with families via posts and at in-person events.
  • Ask families to save the number in their contacts.

 

Test Your Setup

  1. Make a test call to verify your Virtual Phone number works.
  2. Have someone call your Virtual Phone number to test incoming calls.
  3. Leave yourself a voicemail to test voicemail functionality.
  4. Check that office hours are working correctly.

Admin Only: Network and Technical Setup

Firewall Configuration

If your platform restricts inbound traffic using IP address ranges, you'll need to add the following IP addresses to your allow lists.

Primary Subnets

Allow these IP ranges for HTTP Callbacks, WebSocket connections, and RTP/Media:

  • 216.147.0.0/18
  • 168.100.64.0/18

Port Ranges

Type of Traffic Ports
HTTP Callbacks (WebHooks) As configured by customer (usually TCP ports 80 or 443)
WebSockets As configured by customer (usually TCP port 443)
RTP/Media UDP ports 10000-50000
